Challenge

A fortune 500 client needed to facilitate timely information exchange for their Board of Director and Committee meetings. The current solution involved a time consuming process of creating and manually distributing meeting content through a board book. That process added delay, and made it difficult to reach Directors in remote locations.

Solution

Our client turned to imason for a solution they could securely deploy on-premise that would allow Directors to instantly and securely share board information worldwide. It is specifically designed to ease the workload for Corporate Secretaries, the group that is responsible for smoothly executing each meeting. Each meeting agenda is prepared and supporting material attached to relevant agenda items. Security is offered at all levels - site, meeting, and even individual agenda items for special meeting situations. Once complete, Corporate Secretaries can quickly publish the meeting for Director access.

Directors are presented with a simple, straightforward experience specifically designed by our Usability experts to make the solution as easy to use as possible. They can choose to access individual meetings and supporting material, or choose to download an electronic board book that packages all of the content together.

Built leveraging Microsoft's secure infrastructure framework and the SharePoint platform, the solution has passed through multiple levels of security review, and third party penetration tests to verify both the architectural approach and the solution implementation.

Result

An electronic board solution accelerates the speed of information sharing among a key group of company stakeholders. Directors demand instant access to information for them to be effective in their governance roles. This solution adds another tool in the corporate repository for making that happen, even with Directors who are constantly traveling the world and not dedicated any single corporation.
